A New Home for Timeless Events

As Timeless Homeschool Events continues to grow, we are excited to announce a new home for our major North Alabama events.

Beginning in Fall 2026, Ingalls Harbor Pavilion in Decatur will become the primary venue for many of Timeless' largest celebrations, including Fall Dance, Yule Ball, Spring Formal, and Prom.

This move marks an exciting new chapter for Timeless as we continue creating memorable experiences for homeschool students throughout North Alabama.

                          Why We're Moving

As Timeless has continued to grow, so have our events and the number of families we serve across North Alabama.

This move was influenced by two major factors.

First, the Roundhouse is no longer available for private rentals and has returned to city use. For many years, it served as the home for several of our signature events, and we are grateful for the memories made there.

Second, our annual Fall Dance has outgrown the Huntsville Botanical Garden. Attendance has continued to increase each year, and we reached the point where additional space was needed to comfortably accommodate students while allowing room to expand the event experience.

Ingalls Harbor Pavilion offers everything we were looking for, including:

  • A spacious indoor venue with room to grow.

  • Beautiful waterfront views along the Tennessee River.

  • Expanded space for dancing, activities, and themed experiences.

  • More room for students.

  • Ample parking and improved event flow.

  • Indoor and outdoor event opportunities.

We believe this move positions Timeless well for the future and gives us the flexibility to continue creating the high-quality events our families have come to expect.

Fall Dance Has a New Home

Our annual Fall Dance will also be moving to Ingalls Harbor Pavilion.

The Huntsville Botanical Garden has been a wonderful home for this event, but attendance has continued to grow and we have reached the point where additional space is needed.

Unlike many of our formal events, Fall Dance will continue to be one of our larger-capacity events, and Ingalls Harbor gives us the room to safely accommodate that growth.

Yule Ball Updates

Yule Ball is moving to Ingalls Harbor Pavilion in Decatur and will be redesigned for December 2026.

As families begin planning, we also wanted to remind everyone that Yule Ball is open to students ages 13–19, including many 8th grade students.

For those who may be new to Timeless, Yule Ball is not simply a dance. It is a Wizarding World-inspired Christmas celebration featuring immersive decorations, themed experiences, dancing, and a Christmas buffet dinner shared with friends.

Over the years, Yule Ball has evolved into something more than a traditional formal dance. While dancing remains an important part of the evening, our vision is to create a magical winter experience where students feel as though they have stepped into a Christmas celebration from another world.

With the addition of Spring Formal and Prom, we felt this was the perfect opportunity to allow Yule Ball to lean even further into its identity as a Wizarding World Christmas celebration.

While students are still welcome to attend in formal attire, we also wanted to create more flexibility for those who would enjoy embracing the magical, festive, and creative spirit of the event.

As part of that redesign, we are expanding our attire options.

Guests are welcome to attend in:

• Formal attire

• Semi-formal attire

• Harry Potter-inspired attire

• Wizard robes and character costumes

• Festive Christmas attire

• Winter-themed fantasy attire

Whether you choose a formal gown, a suit, Hogwarts robes, a winter cloak, festive Christmas clothing, or even an ugly Christmas sweater, our goal is to create a magical and welcoming experience where students can express their creativity while celebrating the season.

As always, all attire should remain family-friendly and appropriate for the event.

We look forward to sharing more details and creating an unforgettable Yule Ball experience this December.

                                                  Changes to Our Spring Events

As Timeless continues to grow, we're excited to introduce two distinct spring celebrations, each designed with a different age group and purpose in mind.

Beginning in 2027, students will have the opportunity to attend either:

Spring Formal (Ages 14–16)
A brand-new, highly themed celebration designed specifically for younger high school students.

Prom (Juniors & Seniors)16-20
Our premier formal event celebrating one of high school's most meaningful milestones.

By separating these events, we can create experiences that are better tailored to each stage of high school while giving every student something exciting to look forward to.

Each event will feature its own atmosphere, traditions, and unforgettable experience.

A Unique Opportunity for 16-Year-Old Juniors

Students who are 16 years old have a unique opportunity unlike any other class.

Because they meet the age requirements for both events, eligible juniors may attend Spring Formal and Timeless Prom, experiencing two completely different formal celebrations in the same spring season.

Each event has its own unique theme, atmosphere, traditions, and memories.

Spring Formal offers a creative, immersive, and highly themed experience designed to celebrate the excitement of the journey through high school.

Prom celebrates the milestone of the upper high school years with an elegant evening reflecting friendship, accomplishment, and the transition into adulthood.

For juniors, it's the best of both worlds.

Introducing Spring Formal: A New Timeless Tradition

We're excited to introduce a brand-new Timeless tradition beginning in 2027—Spring Formal, created especially for homeschool students ages 14–16.

Our very first Spring Formal will be held at Ingalls Harbor Pavilion in Decatur on Friday, April 3, 2027.

A Celebration All Its Own

Spring Formal is not Prom, and it isn't meant to be.

While Prom celebrates the milestone of the later high school years and the transition toward adulthood, Spring Formal is designed to celebrate something different, the completion of another successful school year, the friendships made along the way, and the excitement of everything still to come.

It is a celebration of new beginnings, new adventures, and the next chapter in each student's homeschool journey.

A New Theme Every Year

One of the things that will make Spring Formal unique is that every year will feature a completely new theme and experience.

Some years may transport students into a story.

Other years may include interactive elements, immersive décor, themed activities, or unique surprises that make students feel like they're stepping into another world.

While every Spring Formal will be different, one thing will always remain the same:

It will be a highly themed, beautifully designed experience that goes beyond a traditional school dance.

Designed for Younger High School Students

Spring Formal gives younger high school students an opportunity to enjoy a memorable formal event designed specifically for their age group.

Rather than waiting until their junior or senior year to experience a special spring celebration, students can enjoy an event created with them in mind while still looking forward to Prom as a separate milestone later in high school.

Looking Ahead

We believe creating two distinct spring celebrations allows every stage of high school to have something special.

Spring Formal will celebrate growth, friendships, accomplishments, and the excitement of what's ahead.

Prom will remain Timeless' premier formal event, celebrating the important milestone of nearing graduation and stepping into adulthood.

                                            The Future of Timeless Prom

As Timeless Homeschool Events continues to grow, we remain committed to providing elegant, meaningful, and memorable experiences for homeschool teens across North Alabama.

After much reflection, conversations with families, volunteers, and staff, and a careful review of our 2026 Prom season, we have made several important changes that will shape the future of Timeless Prom.

A Message to Our Families

We want to begin by saying something that is incredibly important.

These changes are not because of the overwhelming majority of our attendees.

Year after year, the vast majority of students who attend Timeless events represent the homeschool community exceptionally well. They arrive excited to celebrate with friends, make memories, dance, laugh, and enjoy a special evening. They are respectful, kind, and appreciative, and they help create the welcoming atmosphere Timeless has always been known for.

If that describes you, these changes should have little to no impact on your experience.

Our goal is not to make events more restrictive.

Our goal is to better protect the experience for the students and families who continue to do the right thing.

Why We Are Making Changes

During Saturday night's 2026 Prom, a small number of attendees chose to disregard clearly posted rules, event expectations, and repeated instructions from volunteers and staff.

While these individuals represented only a very small percentage of those in attendance, the behavior created unnecessary disruption and reinforced something we have been seeing develop over time.

For many years, Timeless operated largely on an honor system.

We believed that when young people were given something special, they would honor it.

Most have.

Unfortunately, a small number have not.

As our events continue to grow, we have a responsibility to protect the experience for everyone, not just hope that problems resolve themselves.

That is why Timeless is moving away from relying on the honor system alone.

Prom Moving Forward

Beginning with the 2027 season, Timeless Prom will continue with several important updates.

Prom is designed to celebrate one of high school's biggest milestones.

Beginning in 2027, Prom will be reserved for Juniors and Seniors.

Students may invite up to two guests.

Enhanced Safety & Security

The safety of our students remains our highest priority.

Beginning with our large high school events, families will notice several new security procedures, including:

  • Individualized ticket registration.

  • Required participant headshot verification. Every attendee must upload a recent headshot during registration. This photo serves as your admission credential and is your ticket into the event. If a required headshot has not been submitted, if the photo cannot be verified, or if the person arriving at check-in does not reasonably match the approved photo on file, admission will be denied. No exceptions will be made.

  • Identity verification during check-in.

  • Signed participant waivers.

  • Professional security personnel inside the venue.

  • Law enforcement support on site.

  • Security camera monitoring in designated public areas.

  • Bag inspections.

  • Handheld metal detector (wand) screening at entry.

  • Controlled entry and exit points.

  • Increased volunteer supervision throughout the venue.

These procedures are designed to improve safety, reduce ticket fraud, strengthen accountability, and help ensure every attendee enjoys a secure event experience.

Prom Will Remain Something Special

Prom will continue to serve as Timeless' premier formal event for older students.

It is intended to be elegant.

Timeless.

Meaningful.

Students should be able to look back years from now and remember Prom as more than simply a dance.

It should represent friendship, accomplishment, celebration, and one of life's important milestones.

That vision will continue to guide every Timeless Prom we create.

Looking Ahead

We believe these changes strengthen Timeless for years to come.

The overwhelming majority of our students already attend for the right reasons.

For them, these new procedures should simply result in a safer, smoother, and more enjoyable experience.

As Timeless continues to grow throughout North and Central Alabama, we remain committed to creating events where families feel welcomed, students feel celebrated, and parents can confidently entrust us with one of the most memorable nights of their teen's high school years.

Updated Ticketing, Registration & Verification Policy

Creating a safer, more secure, and more thoughtfully managed Timeless experience
At Timeless, one of the things we treasure most is that our events are open to homeschool students from across North Alabama and beyond, including students from many different co ops, cover schools, independent homeschool families, and approved guests. It is a beautiful thing to see young people from many backgrounds come together to celebrate, connect, and create lasting memories in a shared community.

At the same time, that broad reach also means something important:
Many attendees and families may not personally know one another, and our leadership team may not know every attendee either. Unlike a small private group, single co op, or church youth gathering where everyone is already familiar, Timeless serves a much larger homeschool community made up of many families from many places.

Because of that, Timeless must approach ticketing, registration, and event security differently.
As our organization grows, we are implementing updated ticketing and verification procedures designed to protect the integrity of our events, strengthen safety, and ensure every student attending is properly registered and approved.

Every Ticket Must Be Linked to One Verified Attendee
Beginning with our upcoming season, every ticket purchased through Timeless must be linked to one specific attendee and one verified identity. Tickets will no longer function as open admissions or unnamed passes.

Each ticket must match:
✔ the registered attendee name
✔ the attendee photo on file
✔ the attendee’s verified registration information
✔ the event’s eligibility requirements when applicable
Tickets may not be shared, privately transferred, swapped between families, or used by anyone other than the registered attendee.

Official Ticket Transfers Only

We understand that plans can change. Many students may not yet know who they want to invite as a date or guest, and we also recognize that some Timeless events sell out quickly.

If you are able to wait until you know exactly who you are bringing before purchasing guest tickets, that is always our recommendation.

However, if you are concerned that an event may sell out, it is perfectly acceptable to purchase guest tickets in your own name to reserve them.

Please remember: those tickets cannot be used by another person unless they are officially transferred through Timeless Homeschool Events.

How Ticket Transfers Work

Once you know who will be using the ticket, contact timelesscommittee@gmail.com to begin the official TicketSpice transfer process.

During the transfer:

  • The original ticket will be canceled.

  • The original QR code will become invalid.

  • The new attendee must complete their own registration.

  • The new attendee must submit their own required headshot for identity verification.

  • The new attendee must answer all required registration questions.

  • The new attendee must meet all event eligibility requirements.

  • The new attendee will purchase the ticket at the current ticket price.

Once the transfer has been completed, a new ticket and QR code will be issued in the new attendee's name.

Identity Verification Required
To complete registration, each attendee must submit a clear photo of themselves during the ticketing process.
Accepted verification includes:
• a current headshot or selfie style photo
Important:
This identification must belong to the attendee attending the event, not the parent, not the person purchasing the ticket, and not another family member.
Submitted photos must:
• clearly show the attendee’s face
• be recent and accurate
• be an authentic image of the attendee
• not be altered, misleading, AI generated, or taken from another source

Age & Event Eligibility Verification
Certain Timeless events are intentionally designed for specific age groups or grade levels in order to create experiences that are age appropriate, balanced, and thoughtfully curated.
Because of this, age, date of birth, and grade level may be reviewed and verified as part of the registration process.
If a ticket is purchased for an attendee who does not meet the stated eligibility requirements for that event, the registration may be canceled in accordance with Timeless ticket policies.
This helps us:
• preserve the intended event experience
• maintain clear age boundaries
• support safety and supervision
• ensure fairness for families purchasing tickets within event guidelines

Guest & Date Policy

Students attending Prom and Spring Formal are welcome to invite up to two guests, whether that is a date, a friend, or a combination of both.

Guests may be a different age or grade level, provided they meet Timeless eligibility requirements and fall within the event's permitted age range.

Guest tickets are intended as an accommodation for Timeless attendees and are not general admission tickets. As a result, guest tickets will be offered in limited quantities.

During registration, each guest must provide the name of the Timeless attendee who invited them. 

To ensure fairness, each Timeless attendee may sponsor no more than two guest tickets. 

Our goal is to provide flexibility for students who wish to bring a friend or date while ensuring that guest tickets remain connected to our homeschool community and are used as intended.

If your family has a unique circumstance that requires additional guest accommodations, please contact us at timelesscommittee@gmail.com before purchasing tickets. We are happy to review requests on a case-by-case basis.

Why We Are Making These Changes
These updated procedures help:
• prevent unauthorized guests
• prevent ticket swapping or misuse
• strengthen event security
• improve emergency accountability
• support our volunteer and security teams
• protect the experience for all attendees
• create a safer, smoother, and more thoughtfully managed event environment

 

                                             Parking Lot & Property Policy

To help provide a safe and secure environment for all attendees, Timeless Homeschool Events asks that students and families follow the parking lot and property policies outlined below.

Student Drop-Off & Pick-Up

Students being dropped off should be dropped off at the designated entrance. Drivers should exit the property once their student has safely entered the event.

At the conclusion of the event, drivers should return promptly to pick up their student.

Unauthorized Gatherings

Timeless events are private, ticketed events for registered attendees only.

Please do not invite friends or other students who are not attending the event to meet you in the parking lot or anywhere on venue property before, during, or after the event.

The parking lot is not a gathering place for students or friends who are not attending the event.

Individuals who are not registered attendees may not remain on the property, including the parking lot, sidewalks, or other areas of the venue. Unauthorized individuals will be asked to leave, and if necessary, Timeless staff, security personnel, or law enforcement will assist in clearing the property.

Parent Parking

Parents and guardians are always welcome to remain on the property in their cars while their student attends the event.

If you plan to stay, please stop by the check-in table upon arrival. We will provide you with a Parent Parking Pass to display inside your vehicle.

This allows our security team to quickly identify vehicles belonging to parents who are waiting during the event.

Parking Lot Security

For the safety of everyone attending, the parking lot will be regularly patrolled by Timeless staff, professional security personnel, and local law enforcement.

Any occupied vehicle remaining on the property during the event without a visible Parent Parking Pass may be approached by Timeless staff, security personnel, or law enforcement. Occupants may be asked to leave the premises if they are not registered attendees or authorized parents waiting for their student.

These procedures help us identify authorized vehicles, discourage unauthorized gatherings, and maintain a safe environment for our students and families.

We appreciate your cooperation in helping us protect the Timeless experience for everyone.

Help Us Build Timeless Middle School Socials

One of the most common requests we receive is for more events designed specifically for middle school students.

We're excited to begin building our Timeless Middle School Socials program, but we can't do it alone.

We're looking for a team of parents and volunteers who are passionate about creating fun, safe, and memorable experiences for younger homeschool students.

Rather than simply helping at events, this team will meet throughout the year to plan, organize, and help bring these events to life.

Some of the ideas we're exploring include:

  • Middle School Dances

  • Teen Nights

  • Game Nights

  • Mystery Events

  • Seasonal Celebrations

  • Interactive Themed Events

We already have lots of exciting ideas. What we need now are creative people who are willing to help turn those ideas into reality.

Whether you enjoy planning, decorating, organizing activities, coordinating volunteers, or simply brainstorming new ideas, we'd love to have you on the team.

Our goal is to create a variety of events where middle school students can build friendships, make memories, and enjoy fun experiences designed just for their age group.
